Viewing Lists
There are three tables for each list: 1. Main Table 2. Additions Table 3. Deletions Table
Main Table View:

Adding list members You may need to add to your lists people whom you consider to be a part of your organization but who aren’t on your unit’s payroll. Add a new member by clicking Addition at the top of the screen, or by scrolling to the Addition list for the mailing list you are reviewing, and clicking Add New to Current List. Note: changes in the College structure have affected the appointments of some in the College. You should also check your lists and manually add those in accounting, student services, or information technology positions whose appointment may no longer be in your unit and thus would not automatically show up on your mailing lists.
When adding someone to a list, select a job type from the pop-up menu. Additions to faculty, staff, or profacad will automatically be added to your "all" list, and also to the corresponding list for the entire college (e.g., CFANS_faculty). Provide the first name and last name, select the appropriate group, and then an e-mail address. When you click Submit, this person will immediately be added to your list(s) and his or her name will automatically be added to the Additions table. You can later remove that person by clicking Delete in their row in the Additions table.
Removing list members You may also need to remove individuals from a list. Remove someone from a mailing list by clicking the Delete link in their row in the main table.
 The person who is removed is automatically added to the Deletions table. You can return this person to the list by clicking the Restore link in the Deletions table.
Duplicate entries You may have added someone to your list prior to their appointment in PeopleSoft. After the PeopleSoft entry is included, you will see two entries. If you delete one of the entries, both of them will go away. To remedy this situation, delete the entry late in the day, and the list will pull the entry back into your list from PeopleSoft the next morning.
About the job types When you add a person to a faculty, staff, or profacad list, that person is assigned an arbitrary job code that allows the system to select him or her as a member of that group. Someone added to faculty is assigned the job code 9401, for staff it is 1000, and for profacad it is 9700. Someone added to the all list is assigned a code of 0000. These codes are used only for the purposes of the e-mail lists; they do not have any other effect.
Rules governing additions and deletions Anyone added to your faculty, staff, or profacad list is automatically added to your all list, and also to the corresponding all-college lists for cfans (e.g. someone added to faculty will also be added to your all list, the cfans faculty list, and the cfans all list).
Anyone added only to your all list will not appear in your faculty, staff, or profacad list, and will NOT appear in any all-college list. (Those added only to the all list are assigned a job code of 0000.)
Removing someone from your list who has appointments in multiple departments, for example an adjunct faculty member, will not remove him or her from the other departments.
If someone has more than one row in your list, do not delete the extra rows. They will not receive more than one email per list.
